Establishing Design Systems as a Service

I led a team to start merging 2 design systems with different maturity levels. We transformed a simple UI library into a Design System across multiple product teams. We challenged the status-quo, surveyed users, migrated tools, redesigned components, and last but not least: advocatied for adoption.

The Challenges

First and main issue: Our big corporate client (#nda) had over 15 design systems across the organisation (aka. Design Systems Grave Yard according to Dan Mall). You can only imagine the amount of inconsistencies and inefficiencies that were in place.

The second main issue: there were no clear governance or collaboration processes in place. The project scope grew but the UI Library was stuck in a low maturity level.

It was my job to initiate change and one year later I am proud of our achievements. Together we have build a Service around our DS, leveraging synergies and saving our client resources!

  • Limited resources: Small part-time team on a volunteer base.
  • Outdated tools: Starting point with outdated design tools and files.
  • Complexity: Navigating a large, complex organisational structure.

Process

1. Auditing Existing Design Systems: Conducted an in-deph audit of the existing components to identify strengths, weaknesses, and inconsistencies.

2. Defining Guidelines: Established clear design principles and guidelines to ensure consistency across the organization.

3. Migrating to Figma: Led the migration from Sketch to Figma, training teams on the new tool and its capabilities. Encouraged adoption and shared best practices.

4. Merging Design Systems: Started the process of merging two systems. Adopting the more mature one while also contributing with enhancements and ideas.

5. Establishing Governance Model: Created a governance model to oversee the design system, including decision-making processes, contribution guidelines, and release cycles.

6. Iterative Design and Testing: Continuously tested and refined the design system based on user feedback and usage data.

  • Gained access to 470 components. 3x more than what we originally had.
  • Reduced design and development time by ca. 50%.
  • Improved brand awareness through the establishment of a unified design language across our products.
  • Enhanced our accessibility scores to AA/AAA WCAG.
learnings
  • Effective Communication: The importance of clear and concise communication with stakeholders at all levels.
  • Collaboration: Fostering collaboration between designers, developers, and product managers is essential for successful design system adoption.
  • Patience: Working with large team in a complex environment with very tight deadlines and other priorities was challenging. Speaking Business was crucial to move the needle.
